Job description

1. Receptionist scope:
  • Visitor Welcome & Registration: Warmly welcome all guests and ensure a professional check-in/check-out process in compliance with building security policies.
  • Call Handling: Answer incoming calls in a prompt and courteous manner. Provide accurate information or transfer calls to the appropriate staff or department.
  • Reception Area Management: Maintain a tidy and professional reception area. Coordinate with relevant teams to resolve issues when needed.
  • Meeting Room Support: Assist with booking and setting up meeting rooms, including preparing water and office supplies as required.
  • Mail & Package Handling: Receive, sign, sort, and distribute mail and packages properly, including express services.
  • Flower Arrangement: Coordinate with flower vendors to ensure timely and suitable delivery. Manage relevant contracts and payments
2. Administrative Responsibilities
  • Reconciliation & Payment: Ensure timely and accurate reconciliation and payment for assigned services.
  • Document Management: Update internal database, filing systems, and administrative documents as needed.
  • General Support: Assist with reception process improvements, support internal events, and handle other administrative tasks as assigned.
  • Reporting: Prepare monthly reports summarizing completed tasks and pending issues for management review.

Requirement

  • College or University degree
  • 1-2 years of experience in a similar role
  • Proficiency in Microsoft Office (i.e., Word, Excel, PowerPoint)
  • Proactive, enthusiastic, and a “can-do” attitude with a strong sense of teamwork and a shared services mindset
  • Good communication skills in both Vietnamese and English
  • Strong attention to detail and accuracy in daily tasks
  • Good interpersonal skills, able to work effectively with internal and external parties
  • Experience in handling customer complaints is a strong plus
  • Able to multitask and work well under pressure in a dynamic environment
  • Trustworthy with high ethical and moral standards
