Receptionist Responsibilities:
  • Visitor Welcome & Registration: Warmly welcome guests and ensure a professional check-in/check-out process in compliance with building security policies.
  • Call Handling: Answer incoming calls promptly, provide accurate information, or transfer to the appropriate staff/department.
  • Reception Area Management: Keep the reception area tidy and professional. Coordinate with relevant teams to resolve issues when needed.
  • Meeting Room Support: Assist with booking and setting up meeting rooms, including preparing water and office supplies as required.
  • Mail & Package Handling: Receive, sign, sort and distribute mail and packages properly, including express services.
  • Flower Arrangement: Coordinate with flower vendors to ensure timely and suitable delivery, manage contracts and payments.
Administrative Responsibilities:
  • Reconciliation & Payment: Ensure timely and accurate reconciliation and payment for assigned services.
  • Document Management: Update internal databases, filing systems and administrative documents as needed.
  • General Support: Assist with reception process improvements, support internal events and handle other admin tasks as assigned.
  • Monthly Report: Prepare monthly reports summarizing completed tasks and pending issues for management review.

Yêu cầu

  • College or University degree
  • 1-2 years of experience in a similar role
  • Proficient in Microsoft Word, Excel and PowerPoint
  • Proactive, enthusiastic, and possess a “can-do” attitude with a strong sense of teamwork and shared services mindset
  • Good communication skills in both English and Vietnamese
  • Strong attention to detail in daily tasks
  • Good interpersonal skills, able to work effectively with internal and external parties
  • Experience in handling customer complaints is a strong plus
  • Ability to work under pressure and manage multiple tasks
  • Trustworthy with high ethical and moral standards
